General event staffing questions

How quickly can you provide event staff?
EventEdge maintains a bench of 100+ trained professionals with 24-hour deployment capability. Availability depends on the role mix, headcount and city, so we confirm it against your date and brief when we review the requirement.
What types of event staff do you provide?
Nine specialist teams: hosts and anchors, brand promoters, registration desk teams, hospitality staff, guest relations and VVIP handling, valet staffing, crowd management, volunteers and event crew, plus event coordination support. Teams can be combined into one crew.
Can you provide staff for events outside Bangalore?
Yes. EventEdge is headquartered in Bengaluru with live coverage in Chennai, Mumbai, Delhi NCR, Hyderabad and Kochi. We are building coverage in Kolkata, Pune and Goa, where availability is confirmed case by case.
Can you handle last-minute staffing requirements?
Short-notice requirements are part of the operation — that is what the bench and 24-hour deployment capability exist for. Send the role, headcount, city and date and we will confirm what can be deployed.
Are staff briefed before the event?
Yes. Every crew member is briefed on the venue, their role, the reporting schedule and the dress code before deployment, so they arrive knowing the plan.
Can I request a specific dress code?
Yes. Dress code is part of the brief. We apply one grooming and uniform standard across the whole crew, matched to your event and brand requirements.
Can you provide registration desk staff?
Yes. Registration desk teams are briefed on your check-in process, badge system and floor plan, and are planned against your peak arrival window rather than the total guest count.
Do you provide brand promoters?
Yes. Brand promoters, samplers and demonstrators are briefed on your pitch, hero features and common objections before the activation begins.
Can you provide hospitality staff for corporate events?
Yes. Hospitality crews cover F&B service, seating, ushering and lounge hosting for corporate hospitality, award nights, launches and guest-list occasions.
Can you provide manpower for exhibitions?
Yes. Exhibition staffing covers booth staff, visitor management, registration desks and crowd flow across single and multi-day expos and trade shows.
How do I request an event staffing quote?
Send the event type, date, city, venue, reporting time, roles and headcount through the quote form. Our team reviews the requirement and shares an itemised staffing proposal, typically within two working hours subject to receiving complete requirements.
How the staffing process works
What happens between sending a brief and the crew reporting on site.
What information do you need to quote?
Event type, date, city, venue, reporting time, dress code, number of staff, roles required and event duration. If you have a run-of-show or guest profile, include it — it helps us structure the crew accurately.
How does the crew briefing work?
Before deployment the crew receives role cards and venue notes covering their responsibilities, reporting time, dress code, guest-facing standard and the escalation path. The on-site coordinator reinforces the briefing on arrival.
What happens if a staff member does not report?
Replacement cover is built into the deployment plan. With a bench of 100+ professionals on call, a replacement is drawn from people already briefed on the event's requirements rather than an unvetted last-minute contact.
Will we have a single point of contact?
Yes. A named coordinator owns your crew on site and is the single communication line to your event team from deployment through wrap-up.
Is there a minimum booking size?
Crews scale from 5 to 500 staff, and smaller requirements are handled case by case. Send the requirement and we will confirm what is practical for your city and date.
Do you work with event agencies as well as corporates?
Yes. Event agencies, corporate event teams, wedding planners, exhibition organisers, brand activation agencies and venues all use EventEdge as a staffing partner — including as a white-label crew supplier behind their own brand.

Kolkata, Pune and Goa. These are markets we are actively building, and availability is confirmed case by case while the local crew bench is developed.
Do you have an office outside Bengaluru?
No. EventEdge operates from its head office at KV Temple Street Cross, Chickpet, Bengaluru 560053, and deploys crews to other cities.
Can you crew a multi-city event?
Yes. Multi-city events are coordinated with a single staffing plan and a named coordinator per city, so roles, briefing and reporting standards stay consistent across locations.

Can you staff a multi-day conference?
Yes. Crews are rostered across event days with shift patterns and handovers agreed in the staffing plan, so the same standard applies on day three as on day one.
Do you provide conference hosts and moderators?
Yes. Hosts and anchors are briefed on your run-of-show, script, pronunciation notes and sponsor mentions, and work in English, Hindi or Kannada as your audience requires.
How many registration staff does a corporate conference need?
Plan counters against your peak arrival window rather than total delegate numbers. Share the expected arrival curve and we will help structure the counter and greeter count.
Exhibitions & trade shows
Booth, visitor management and crowd flow staffing for expos and trade shows.
Can you staff a booth across all exhibition days?
Yes. Booth staff are rostered across the full exhibition run so the stand stays staffed from opening to close without you managing a schedule daily.
Do you provide visitor management and crowd flow crews?
Yes. Visitor registration, queue shaping, wayfinding and crowd flow crews are briefed on the hall plan and entry gates before the show opens.
Can staff be briefed on our product before the show?
Yes. Booth and promoter staff receive a product and pitch briefing before deployment so they can hold accurate conversations with visitors.
Brand activations & promotions

Can promoters work a full mall trading day?
Yes. Promoter rosters are planned around mall trading hours, including break rotations so counter presence is maintained through the day.
Do promoters capture leads and engagement data?
Promoters can be briefed to capture lead or engagement data in the format you require, subject to your data collection process and permissions.
Can you run the same activation in multiple cities?
Yes. Multi-city activations are coordinated from a single staffing plan with a coordinator per city and consistent briefing standards.
Weddings & social events
Usher, hospitality and valet staffing for multi-day functions.
Do you supply ushers and hosts for multi-day weddings?
Yes. Ushers, hosts and guest-relations staff are rostered across the functions, briefed on the venue flow and ceremony timings for each day.
Is EventEdge a wedding planning company?
No. EventEdge provides event staffing, manpower and coordination support for weddings. Wedding planning, decor, creative and vendor management stay with your planner.
Can you provide valet and parking crew for a wedding?
Yes. Valet and traffic crews are briefed on the venue's parking layout, drop-off sequence and peak arrival window.

Can you provide waiting staff for a seated dinner?
Yes. Hospitality crews are structured around the seating plan and service style you brief us on, and coordinate with your venue and catering teams.
Do you handle VVIP guests discreetly?
Yes. VVIP handlers are briefed on the guest profile, movement plan, privacy boundaries and access rules, and work to a discretion-first standard.
Pricing, quotations and commercials
What drives cost and how the proposal is structured.
How is event staffing priced?
Staffing is quoted per person, per day, with the rate depending on the role, city, shift length, headcount, duration in days and the level of briefing and supervision the event needs. Ask for an itemised proposal mapped to roles so you can see exactly what changes when the brief changes.
How quickly will I get a quotation?
Itemised proposals are typically shared within two working hours, subject to receiving complete event requirements. Incomplete briefs take longer because we will come back with questions rather than guess.
Do you require an advance to confirm a booking?
Commercial terms, including any advance, are confirmed in writing with the staffing proposal for your event. There are no verbal bookings.
Is GST charged?
EventEdge Staffing is a GST registered business (GSTIN 29IZAPD1599G1Z3). Applicable GST is shown on the proposal and invoice.
