Event crew do the physical work that keeps an event running: setting up halls, moving material, preparing and distributing delegate kits, guiding guests and packing down afterwards. This page explains what crew cover, how set-up and show days are planned separately and how many crew a venue needs. Share your set-up plan and hall layout to size the team.
The figures below are planning estimates to help you size a crew requirement. They are not a quotation and not a guarantee. Final headcount is confirmed after we review the layout plan, material volume, venue access, shift timings and pack-down requirements.
| Crew task and scale | Indicative crew planning guide |
|---|---|
| Seating setup for up to 500 guests | 6 to 10 crew for a half-day setup shift |
| Setup or pack-down day, medium venue | 8 to 15 crew with 1 supervisor, depending on material volume |
| Delegate kit assembly, 500 kits | 4 to 6 crew working a preparation shift before the event |
| Guest wayfinding across a large venue | 1 crew member per entry zone or junction, plus 1 rover |
| Show-day restocking and floor support | 2 to 4 crew behind registration and stand zones |
Setup and pack-down are different work from show-day support, and pricing them as one line hides the real effort. Setup has a schedule and a deadline; show day has service demands; pack-down has an exit window.
Venue access drives setup planning more than material volume does. A venue with one service lift and a four-hour window needs more crew than a ground-floor hall with a ramp and a full day to prepare.
That is why setup and pack-down are quoted as separate shifts, with their own headcount confirmed after access rules and timings are reviewed.
Crew can arrange seating, place signage, move materials, assemble kits, support restocking and direct guests along a briefed route. They work to a layout plan and a checklist.
Crew do not carry out rigging, electrical work, AV installation or anything requiring technical certification. Those tasks belong to the venue or the technical vendor.
Where crew are guest-facing, they are briefed on fixed directions and escalation. They are not expected to answer programme questions or make decisions on seating disputes.
The single biggest setup risk is an unclear layout plan. If the plan is verbal or changes on the floor, the crew rework and the deadline slips.
Agree the layout in writing with plot sizes, seat counts and standee positions before the crew arrives, and assign each crew member a zone so two people are not doing the same task while another is missed.
Supervisors should report progress at fixed intervals against that plan, so a delay is visible early enough to add crew rather than discovered at the deadline.
Volunteers are usually unpaid participants, while event crew are paid professionals engaged for specific physical and directional duties. Event crew are rostered, briefed and supervised in the same way as other event staff.
Yes. Setup often happens the evening before or overnight when a venue has a narrow handover window. Overnight shifts are planned with rotation and a supervisor on site.
No. Crew handle material movement, seating, standees, signage and kits. Rigging, electrical work and AV installation are handled by the venue or the technical vendor.
Crew work under a supervisor or coordinator who assigns tasks against the layout plan and reports progress, so you get a single point of contact rather than managing individuals.
Pack-down is typically planned at a similar count to setup, adjusted for material volume and the venue's exit window. It is quoted as a separate shift from show day.

Trade shows are staffed to a different standard than conferences: higher volumes, longer days, tighter compliance. These are the seven requirements to meet before day one.
The briefing is what separates a deployed crew from a list of names. Here is what every pre-deployment briefing must cover, and how to run it consistently at scale.
