  • Welcoming and receiving guestsHosts stand at the entrance or VIP desk, greet guests by name where a list is provided, confirm seating or lounge access and hand off any special request to the coordinator. They set the first impression of the event.
  • Escorting VVIPs and speakersA host walks the chief guest, speakers or leadership from the arrival point to the green room, stage or holding area, keeping to the programme timing. This is a discreet role that requires the host to stay calm when a schedule slips.
  • Stage, cue and show supportHosts hold cue cards, line up award winners, guide speakers on and off stage and coordinate with the show caller on transitions. They are briefed on the running order before the doors open.

  • Script handling — can the host hold a cue card, follow a running order and adapt when a segment overruns?
  • Composure with VIPs — hosts handling dignitaries need discretion, patience and the discipline to say nothing off-script.
  • Format experience — an awards hostess, a conference host and a launch host carry different expectations; check the roster has worked that format.
  • Pre-event briefing — a host should arrive knowing the programme, the VVIP list and the reporting point before arrival.

  1. Brief collection — running order, VVIP list, dress code, entry points and the exact duties you want the hosts to own are collected first.
  2. Host allocation — hosts are matched to the role, entrance and shift, with a lead host named for VIP movement and stage cues.
  3. Role cards and venue notes — each host receives the programme timing, escort routes, green-room location and escalation contact in writing.
  4. Dress code and rehearsal — uniform, grooming and footwear are confirmed, and hosts are walked through the venue and stage approach before guests arrive.

What the event host role is not

A host is not an event manager. Hosts handle guests, directions and cue timing within a brief you approve — they do not plan the programme, book vendors or own the production schedule.

A host is also not a general crew member. Where an event needs seating arranged, material moved or stands packed down, that is crew work and should be briefed as a separate role.

Keeping the roles separate matters for cost and for service. A host pulled into packing duty is a host who is not receiving guests.

How event hosts are briefed on script and stage

Before deployment, each host receives the running order with timings, the escort routes, the green-room location and the name of the person calling cues. Where an event has an award sequence, hosts are briefed on the exact order of names and the walk-on and walk-off path.

On site, hosts walk the venue before doors open. They check the approach to the stage, the position of the VIP holding area and the route from the entrance, so no host is navigating a venue for the first time with a guest beside them.

Any change to the running order during the event is passed to the hosts by the coordinator, not through the floor. That keeps the front of house consistent with the stage.

Matching host numbers to guest flow

Host count follows entrances and moments, not only guest numbers. Two entrances, a photo wall and a separate VIP gate can need four hosts even at a modest guest count, because each position has to be covered at the same time.

Arrival windows matter too. A narrow arrival window concentrates the load and calls for more hosts for a shorter period, while a staggered arrival over ninety minutes can be covered by a smaller team.

Event Hosts — frequently asked questions

Is an event host the same as an anchor or emcee?

No. An anchor or emcee presents from the stage and is engaged for content and scripting. An event host handles receiving, escorting, direction and front-of-house guest handling. Many events use both, and we can supply the two roles together.

Do event hosts also handle registration?

Hosts can support a welcome desk, but registration counters are better served by a dedicated registration team. Where guest volume is high, pairing hosts with registration staff keeps the arrival queue from blocking the foyer.

What language should a host speak?

Clear English plus the regional language of the city is the usual expectation. If your guest list is multilingual, tell us in the brief and language mix is factored into the host selection.

What do hosts wear?

Dress code is confirmed in writing before deployment — typically a blazer uniform for corporate events, a sari or kurta for traditional functions. If you have a house uniform, share the reference so it can be matched.

Can hosts be booked for a single shift?

Yes. Host shifts are planned around your programme timing, including a single evening or a full show day. Set-up, rehearsal and pack-down time should be included in the brief so the shift is priced correctly.
