The roles wedding event staff cover at a function

Most families think in terms of hospitality alone, but a wedding typically needs five distinct functions covered: receiving, arrival and parking, seating and family support, hospitality counters, and cloakroom or gift desk.

Arrival is the most underestimated. Guests arrive in clusters, and without staff at the gate and porch, cars queue, guests walk in from the road and the family ends up managing traffic instead of greeting people.

Cloakroom and gifts need a dedicated person too. Gifts and bags that are not tagged and supervised become a family worry through the evening.

Brief the escalation route. Staff should know exactly who to reach for a seating change, a missing gift or a guest complaint, and that person should not be the bride, groom or their parents.

Planning headcount for a multi-function wedding

A wedding weekend is not one event repeated. A mehendi afternoon, a sangeet evening and a reception each have a different guest profile, arrival pattern and service load, so headcount should be planned function by function.

Shared staff across functions can work where timings and duties are close, but rotation must be planned, or the same people are on their feet from morning to midnight and service drops at the reception.
